Out-of-Office Multi-Channel Re-Engagement

Automatically generate a personalized Sendr page when a lead is marked Out of Office in Instantly and send that lead to HeyReach to trigger a LinkedIn connection request or DM.

Overview

This automation listens for an Out-of-Office event from Instantly via webhook.

When triggered:

  1. Instantly sends the lead data to Sendr

  2. Sendr generates a personalized page

  3. The lead is pushed to HeyReach

  4. A LinkedIn connection request or DM is triggered

This workflow runs at the instance (campaign) level, giving you control over which campaigns activate the automation.

Critical Requirement

Leads in Instantly must have a LinkedIn Profile URL column populated.

This is required because:

  • The LinkedIn profile URL is passed into HeyReach

  • HeyReach requires the profile URL to send a connection request or DM

Without this field, the automation will not be able to trigger LinkedIn outreach.

What This Automation Does

When a lead is marked Out of Office in
Instantly:

  • Lead data is sent to
    Sendr

  • A personalized Sendr page is generated

  • The lead is added to a list in
    HeyReach

  • A LinkedIn DM or connection request is triggered

No manual exports. No CRM sync required.

Step 1: Create the Webhook Trigger in Sendr

  1. Go to Automations inside Sendr.

  2. Click Create Automation.

  3. Select Webhook Trigger.

  4. Click Generate Webhook URL.

  5. Copy the webhook URL.

This is the endpoint Instantly will send Out-of-Office data to.

Step 2: Configure Webhook in Instantly (Instance Setup)

  1. Go to Settings in Instantly.

  2. Click Integrations.

  3. Select Webhooks.

  4. Click Add Webhook.

  5. Paste the Sendr Webhook URL.

  6. Select the event:

    • Out of Office

  7. Choose the campaign:

    • Select All Campaigns, or

    • Choose a specific campaign instance

Click Save.

Step 3: Test the Trigger

To send test data:

  1. Open a lead in Instantly.

  2. Change the lead status to Out of Office.

  3. Save.

Now go back to Sendr:

  1. Click Test Trigger.

  2. Confirm the webhook payload appears.

You should see:

  • First Name

  • Last Name

  • Email

  • Campaign

  • LinkedIn Profile URL

Click Continue with Selected Data.

Step 4: Generate the Sendr Page

  1. Add a new step → Generate Sendr Page.

  2. Select your Sendr template.

  3. Map the fields:

LinkedIn URL

linkedin_profile_url

Click Test to confirm page creation.

Sendr will return:

  • Page URL

  • Page Preview URL

  • Page ID

Step 5: Add Lead to HeyReach

Now we push the lead into HeyReach for LinkedIn outreach.

  1. Add a new step → HeyReach.

  2. Select the Lead List you want to send OOO leads into.

  3. Map the required fields:

Profile URL (Required)

linkedin_profile_url

Sendr Page

page_url

⚠️ The Profile URL field is mandatory.
If this field is missing or empty in Instantly, HeyReach cannot send a connection request or DM.

Click Save.

Step 6: Enable the Automation

After confirming:

  • Instantly webhook fires correctly

  • Sendr page generates successfully

  • LinkedIn profile URL is mapped

  • HeyReach list is selected

  • All required fields are populated

Click Enable.

🔁 How Instance-Based Logic Works

Because the webhook is tied to selected campaigns:

  • You can scope it to a specific campaign

  • Or apply it across all campaigns

  • The automation only triggers when the Out-of-Office event occurs

This gives you structured control over re-engagement workflows.

What Happens Automatically

Once enabled:

  1. A lead is marked Out of Office in Instantly

  2. Instantly sends webhook data to Sendr

  3. Sendr generates a personalized page

  4. The lead is added to a HeyReach list

  5. A LinkedIn DM or connection request is triggered

The entire flow runs in real time.
